2025 Fall Move-In Schedule

Fall move-in day is arriving soon! We are excited for your return! To better serve you, The Woods has scheduled move-in dates before your lease begins. The schedule below has your apartment’s scheduled date for check-in and key pick-up.

Check-in and key pick-up will be located at The Woods Clubhouse or the main office. Please park inside the Woods complex upon arrival, the gates will be open. The check-in process will also consist of signing receipt of the Woods Policy Book and receiving move-in inspection forms to be returned to our office within 24 hours. The first person to pick up keys for the apartment will receive the Common Area Apartment Inspection Checklist.  As expected, the Woods will be FULL again this year! So please check the housing icon on your MyMillikin account for any roommate updates. Prior to arrival, students will be required to watch an orientation video. This video will be posted on The Woods website on August 1, 2024.  

Can’t make your assigned date? No Problem! You can check in on August 22nd, 23rd or 24th from 9:00 AM – 4:00 PM.

Remember, your lease does NOT begin until August 22nd, however, as a courtesy we are allowing apartments to move-in a few days early!    

Very Important: Your account must have a zero-dollar balance. If there is an outstanding balance due to the Security Deposit or missing Guaranty Forms (co-signer), it will delay your move-in experience.  We look forward to seeing you!

It’s almost time to start packing again as this school year is ending. It has been a pleasure serving you this year and we look forward to making your move-out as smooth as possible! For your convenience, we will start conducting move-out inspections beginning May 18, 2025.

April 25^th: Apartment Move-Out Inspection will be assigned by The Woods.

The move-out inspection will be done when the last person moves out and the unit is empty between 5/18 – 5/21. Please take these steps to make the move-out process as smooth as possible…

1. No residents need to be physically present at the inspection, but it’s always recommended because you are presented with the inspection results.

**Move-Out inspections will take 30 minutes, and all personal belongings must be out of the apartment during this appointment time unless a roommates re-signed.

How do I prepare my apartment for inspection? Below you will find a move-out preparation checklist with instructions, what out inspectors will look for, cost for damages, cleaning, etc.

Did you re-sign your lease to stay in the same apartment? Unless ALL current occupants are staying in the same apartment, we still need to perform a Move-Out inspection with the roommates who are moving out.

Are you a current Woods resident and moving to another Woods apartment for the Summer? You will stay in your current apartment until your new apartment is ready for you. The Woods will contact you when your new apartment is ready, and you will have 12-24 hours to transfer all of your personal items to the new apartment. This will be between May 22nd – June 1^st. A Move-Out inspection of your current apartment will be scheduled 24 hours after you collect keys for your new apartment.

**Please have everything packed/organized to make your move as easy as possible.**

It’s almost time to start packing again as the school year comes to an end, your lease expires May 17, 2024. It has been a pleasure serving you this year and we look forward to making your move-out as smooth as possible!

Please read the following information carefully:

Steps to take…

1. Communicate with roommates, if you are the only person moving out (and not returning for Summer), you will schedule the move out appointment.
2. If more than one person is moving out, select a time that works best for the person moving out LAST.
3. Elect one roommate to visit the leasing office, on the dates noted below, to schedule a move-out inspection time for our staff to visit the apartment. At this time all keys and fobs are collected, and you are presented with inspection results.
4. ***If you are an international student or one of your additional roommates moving out is an international student, the international flight charter will be departing Monday, May 20, 2024. YOU DO NOT NEED TO SCHEDULE AN APPOINTMENT IF YOUR ROOMMATE WILL BE TAKING THE INTERNATIONAL CHARTER. All items must be out of the apartment by 8:00 AM on Monday 5/20/2024.

*Your lease ends Friday May 17th

It’s almost time to start packing again as the school year comes to an end, your lease expires May 19, 2023. However, you are welcome to schedule a time for May 19, 2023 (last day of your lease). To better serve our residents, we can even extend the move-out inspection day through May 22, 2023 for apartments which have graduates participating in commencement ceremonies on Sunday or for apartments which have international students who have confirmed with the CIE they will be traveling to the airport via the charter that Monday morning. Remember, personalized move-out appointments are scheduled on a first-come-first-serve basis, so please schedule your inspection soon.  

Tuesday April 25th & Wednesday April 26th: Schedule your Move-Out Inspection in-person in the Woods Leasing Office from 9:00 AM - NOON. Please designate ONE roommate to visit us on these days to schedule the apartment move-out inspection appointment.

Steps to take…

1. Communicate with roommates and decide who will be last to move-out.
2. Select a day/time that works best for everyone.
3. Schedule a Move-Out Inspection time in our office between April 25-26th.

It’s almost time to start packing again as the Fall semester comes to an end. If you are moving out at the end of Fall Semester,  your lease expires December 17, 2021. It has been a pleasure serving you this semester and we look forward to making your move-out as smooth as possible! Please read the following information carefully:

Steps to take…

1. Communicate with roommates,  if you are the only person moving out (and not returning for Spring), you will schedule the move-out appoitment.
2. If more than one person is moving out, select a time that works best for everyone.
3. Elect one roommate to call the leasing office, on the dates noted below, to schedule a Move-Out Inspection time for our staff to visit your apartment. At this time keys are collected and you are presented with inspection results.
4. *** If you are an international student or one of your additonal roommates moving out is international, the departing international flight charter will leave at 8:00 AM Saturday, December 18, 2021. We will perfom your move out inspection when the office re-opens on Monday, December 20, 2021. You do not need to schedule an appointment if you have or are an international student moving out.  All items must be out of the apartment by 8:00 AM on 12/18/21.

Wednesday, December 1st & Thursday, December 2st: Please call the Woods leasing office at (217) 464-8635 between 9:00 AM & 5:00 PM to schedule your Move-Out Inspection.  Remember, only one inspection will be scheduled per apartment. Please designate one roommate to schedule the appointment time.

Below is important information that will help ensure that your apartment remains well-maintained if you are planning on leaving for Thanksgiving or Winter Break. Please remember, you are more than welcome to complete the Fall Semester remotely from your Woods apartment and will have full access to your apartment at all times during all breaks.

Going Away For Thanksgiving/Winter Break?

We ask all residents to take certain precautions to ensure the safety and security of your apartment:

• NEVER TURN HEAT BELOW 65 DEGREES. Turning heat below this temperature, or off, can result in pipes freezing and bursting. (Residents are responsible for the costs associated with damages to their apartments and other apartments).
• Unplug electronics (NOT refrigerator)
• Open cabinet doors underneath kitchen and bathroom sinks
• Remove trash and all perishable food
• Lock all doors and windows (Deadbolt front door).
• Close all blinds and drapes
• Check mailbox before leaving for any recent utility bills, RESIDENTS ARE RESPONSIBLE FOR ALL UTILITY BILLS DURING SCHOOL BREAKS
• Make sure vehicles are in designated areas and are locked

Do you graduate in December of 2020 or are you a departing international student?

If you have signed a Fall Only lease with a lease ending date of 12/18/20, we will be performing move-out inspections on that Friday, December 18, 2020. Move-out instructions will be sent directly to you via email and text message prior to December.

Hello Woods Residents,

As you may be aware, Governor J.B. Pritzker has issued a “stay at home” order in Illinois until April 7th.  Although the Woods office will not have physical staff, you will be able to reach a Woods staff member by calling the office number at 217-464-8635. We will have a leasing staff member available Monday-Friday 9:00 AM – 6:00 PM and Saturday & Sunday 10:00 AM – 4:00 PM. If you wanting to sign a lease for 20/21 you can email the Leasing Manager, Chrissy, at [email protected].

We have currently suspended any non-emergency maintenances requests. If you do have a maintenance emergency after-hours, you can reach the on-call technician by calling the office number. After-hours Security will remain in place at the Woods during this time. Please contact Security for any lock-outs or emergency needs.

Please remember that Millikin University is following CDC guidelines regarding social distancing. Gatherings will not be permitted. Please do not have guests during this time. This will keep yourself and others safe within the shared space of your apartment.

*A note from Millikin University Campus Life:

Campus Life will be performing essential functions for the state issued “stay at home” order. Essential functions include student welfare and residential operations.

Crisis Response

Professional staff will be on call during the “stay at home” order. Students may contact Public Safety for immediate assistance at 217.464.8888.

Residential Operations

Campus Life has an active roster of students who have determined they are remaining on campus during the “stay at home” order. On call staff will be checking in on residents remotely daily during the “stay at home” order and having those students complete the following form:  https://forms.gle/fBMrRRJYTRX9cA8Q7

Dining

Dining will remain in operation, but under limited services. A hot lunch meal will be provided daily and the evening and following morning’s breakfast will be sent home with students during the lunch period. Students must come for lunch to pick up their meals. The Big Blue Pantry in Blackburn has pre-boxed food ready for students to take. Students can contact Public Safety 217.464.8888 for assistance.

An update regarding Coronavirus (COVID-19) for Woods residents:

Thank you for being a valued Woods resident. As we navigate our way through the housing changes due to Millikin’s move to eLearning, we wanted to personally reach out to you regarding the current Coronavirus situation.

As I’m sure you’ve seen, there continues to be an influx of new information each day. So we appreciate the chance to update you on what we're doing right now at the Woods to protect you, your family, friends and our employees.

The Woods will remain open and will continue to operate with regular hours, policies and procedures. You have full access to your apartment and common areas at all times. As Millikin remains open with food and educational services available, we welcome our residential students to remain living at the Woods.

We want to assure you that your safety and the safety of all of residents is top priority. Here are some of the measures we've taken in recent days:                                     

1. Cleaning Common Areas: We have increased the amount of time our cleaning crew cleans all common hallways, stairways, fitness centers, meeting rooms, common area bathrooms, laundry rooms and more. Our goal is to ensure a clean, safe, and sanitary environment.
2. Use the “Resident Portal” App for Communication: If you haven't tried it yet, now is a great time to check out our Resident Portal app. Simply pay any balance with a few clicks, ask a question and/or send maintenance requests regarding your building or apartment via the app as well. https://apps.apple.com/us/app/resident-portal-mobile/id443831139 
3. Online Lease Signing: We are working toward an online lease process if you have not signed your lease for 20/21. In the meantime, you can email [email protected] with a request for an electronic lease to be sent.

Move-in day is approaching! We are excited and ready for your arrival! In order to better serve you we have scheduled move-in orientations. The schedule below has your apartment’s date/time for your orientation meeting and key pick-up. During this meeting in our office, a staff member will review our policy book with you, issue keys and a staff member will meet you at your new apartment.

Remember, your lease does NOT begin until August 17^th 2018, however as a courtesy we are allowing apartments to move-in a few days early!

Please contact all your roommates and inform them of the appointment below.

Can’t make that appointment? No Problem! Simply find a day/time that works best for you after your scheduled move in date and simply call our office to schedule an appointment at one of the indicated times.

Very Important: The apartment must have a zero-dollar balance, if there is an outstanding balance or missing Guaranty Forms (co-signer) for the apartment, it will delay your move-in experience.
